A quick guide to the figures shown on this report

The monthly occupancy report can be viewed from the Financial Reports page.

You may run this report for either Rooms Available or Rooms Booked. Rooms Available will show a breakdown of rooms available (unoccupied) in the date range while Rooms Booked will show a breakdown of rooms booked (occupied) for the date range. You may also select to include or exclude unavailable rooms. If you choose to include unavailable rooms, they will be calculated as part of the occupancy % figure for the day.

The report is split into months, with the dates in a month across the top, and the occupancies across the left. The occupancies shown on the report are occupancies which exactly match your property's physical accommodation configuration.

The Occupancy %

The occupancy % indicates how busy your property was on a certain date. If you have 10 rooms in your property of which 5 are booked and 3 are closed then:

If unavailable rooms are excluded:

The number of booked rooms (5) is divided by the number of available rooms (10) and then multiplied by 100 to get a percentage. The value is rounded to the nearest whole number.

The resulting occupancy % will be 50%.

If unavailable rooms are included:

The number of booked rooms (5) is divided by the number of available rooms (10) minus the number of unavailable rooms (3) and then multiplied by 100 to get a percentage. The value is rounded to the nearest whole number.

The resulting occupancy % will be 71%.


The occupancy % shown under the last column is the occupancy % for the whole date range. This figure is rounded to the nearest single decimal place.
